COMMUNITY IMPACT COORDINATOR

Routt County United Way (RCUW) is hiring a Community Impact Coordinator to oversee and manage all customer facing programs.  This position is full-time, 40 hours per week, Monday through Friday 9:00am to 5:00pm.  We offer a full benefit package that includes health, dental and vision coverage. RCUW pays for 100% dental and vision and up to $500 per month for health premium for employee only.  Employees are eligible for medical benefits 60 days after the 1st month of employment.  RCUW also offers a 3% match on a SIMPLE IRA plan eligible after 1 year of employment.  Our hourly rate range is from $23.00 to $25.00 an hour.  We also offer 13 paid holidays and have a liberal vacation paid time off policy.

RESPONSIBILITIES

This description of essential functions is intended to provide only basic guidelines for meeting each responsibility. Additional responsibilities may be added, as appropriate. Essential Functions The Community Impact Coordinator is responsible for all aspects of Routt County United Way (RCUW) programs. Specifically, is responsible for planning, implementing and evaluating all RCUW programs.

The programs to date in this responsibility are the following: Day of Caring, Thanksgiving Community Dinner, Volunteer program, Women United and Imagination Library. We are planning on adding Volunteer Income Tax Assistance (VITA) program and /or a Financial Literacy Coordination in the future.

Current special events/ fundraising event planning: July 4th Float and Parade, State of the Community, Rally for Routt Auction, $50K Day, will have guidance and collaboration from Marketing.

Knowledge of our resource and referral program is necessary as all staff in United Way answer phones and greet guests.

PROGRAMS

Day of Caring

  • Prepare Day of Caring budget and timeline.
  • Submit pertinent information to Marketing for the Day of Caring advertisements and emails.
  • Recruit volunteers and agency projects.
  • Match volunteers with projects and send detailed communication to both volunteer and project point person.
  • Assign staff and volunteers to visit projects so that all projects are visited on Day of Caring.
  • Refine, manage and facilitate the Volunteer of the Year program including buying Volunteer of the Year recognition awards.
  • Order any Day of Caring supplies and provide all receipts to Business Operations Manager.
  • Create and facilitate Day of Caring day agenda including detailed lunch presentation agenda.
  • Make lunch arrangements with Lion’s Club.
  • Complete and present annual Day of Caring re-cap report to staff.
  • Work with Marketing on PR and social media advertising for event.
  • Create, implement, distribute, and record survey. Respond to survey comments if necessary. Using survey, make recommendations to next year’s execution.

Thanksgiving Dinner

  • Secure facility with the City of Steamboat Springs.
  • Prepare Thanksgiving budget and timeline.
  • Submit penitent information to Marketing for the Thanksgiving advertisements and emails.
  • Create sign-up.com for food donations and volunteer spots.
  • Recruit food donations from community.
  • Recruit volunteers and kitchen staff for working day of Thanksgiving.
  • Secure all other in-kind donations such as high chairs, supplies from Sodexo, order warmers from Colorado Event Rentals and negotiate paper goods with the Green company.
  • Submit invoices with appropriate backup information to Operations.
  • Arrange other logistics as needed o Create signage for event, sign in sheets and tabling materials.
  • Work the event.
  • Produce annual Thanksgiving re-cap report.
  • Work with Marketing to include all those that contributed to the event for the thank you advertisement.
  • Work with Marketing on PR and social media advertising for event.

Volunteer Program

  • Proactively engage volunteer community on an ongoing basis and recognize volunteers.
  • Manage the Pilot partnership volunteer column when in place.
  • Acknowledge new volunteers and actively engage and follow up to be sure volunteer is satisfied.
  • Recruit volunteer opportunities from agencies.
  • Maintain volunteer database.
  • Code and submit invoices to Business Operations Manager.
  • Track how many volunteers for each program and then total for year. Quantify it with most recent volunteer dollar rate to submit to Executive Director.

Women United

  • Maintain Women United membership database and invoice accordingly.
  • Manage and order supplies and promotional materials.
  • Plan events (Backpacks and Bubbles, fundraiser, holiday party, luncheons, socials) and manage all logistics.
  • Submit invoices with appropriate backup documentation to Business Operations Manager.
  • Assist in monitoring Women United Facebook Group.
  • Attend quarterly WU steering committee and monthly sub-committee meetings as RCUW representative, take notes and distribute to WU. Be the main RCUW point person for Women United Steering and subcommittees. Actively work with steering committee members’ to be sure new members are engaged.
  • Provide information to Marketing for Women United emails.
  • Present relevant information to RCUW staff in weekly staff meetings.

Imagination Library, Women United program

  • Ensure registration supplies are supplied throughout the county at designated locations.
  • Ensure registrations are picked up from the birthing center at the end of the month.
  • Ensure registrations are entered on a monthly, timely basis.
  • Write grants to secure funding when needed.
  • Develop relationships with local Post Masters.
  • Manage and order supplies and promotional materials.
  • Work with Women United members on volunteer reading program.
  • Coordinate updating literacy brochure.

OTHER DUTIES

Work with Marketing in developing the public relations and messaging for their programs including writing website content and social media posts.

Complete annual evaluation of all programs making recommendations for improvement and efficiencies.

QUALIFICATIONS

  • College associate degree or above.
  • Prior project management experience preferably in nonprofit project management.
  • Able to handle multiple projects at once, being interrupted.
  • Proficiency with computers and experience with MS Office applications such as Excel, PowerPoint.
  • Accuracy and attention to detail.
  • Ability to communicate effectively, verbally and in writing.
  • Possess great customer service skills.
  • Enjoy talking to many different people and have an outgoing personality.
  • Ability to relate well with people and communicate in a pleasant and professional manner.
  • Interest in United Way’s mission.

SUPERVISION AND EVALUATION

  • The Community Impact Coordinator is supervised and evaluated by the Executive Director.
  • Monthly one-on-one touch base meetings will be conducted.
  • An annual evaluation will be conducted on the year anniversary of employment.
